Keep the eBay or Poshmark order if one of the two sales is there, because cancelling on those marketplaces costs you the most. Then message the other buyer, cancel through the marketplace yourself, and take down every remaining copy before anything else sells. Never ask a buyer to cancel so the record looks better.
The refund is the small part. A double sale costs you through your account metrics, and the marketplaces count it very differently. On eBay, cancelling because you sold the item to someone else is a recorded defect. On Depop and Vinted we found no published penalty at all. So the order you cancel matters more than which buyer came first.
What a cancellation costs on each marketplace
| Marketplace | What happens if you cancel | Official limit or rule |
|---|---|---|
| eBay | A transaction defect. eBay names "because they sold it to someone else" as a cause | 2% of transactions, or 0.5% for Top Rated. Below Standard needs defects from more than 4 buyers |
| Poshmark | Counts toward your cancellation rate | Above 3% in 90 days can restrict your account |
| Whatnot | Counts against your Cancellation-Free Rate | Whatnot suggests aiming above 99% |
| Mercari | You are not paid for the order. Frequent cancels can bring a warning or a limit | Cancel too often and your rate becomes visible to other users |
| Vinted | You can cancel the order yourself, or it cancels the next business day after the 5-day ship window | No penalty stated on its help page |
| Depop | Orders unshipped after 10 days cancel automatically and the buyer is refunded | No penalty stated on its shipping page |
| Grailed | Standard orders cancel automatically after 7 calendar days without tracking | No penalty stated on its shipping policy |
For the wording, see eBay's seller performance policy, Mercari's cancellation guide and Vinted's shipping rules. A cancelled sale on any of them still leaves an unhappy buyer who may leave feedback or never come back, so a missing penalty doesn't make it free.
Which order should you keep?
Keep the sale that would cost you more to cancel. Going down the table, that's usually eBay first, then Poshmark and Whatnot, then Mercari, with Depop, Vinted and Grailed last. If both sales are on marketplaces with similar stakes, keep the higher take-home after fees, and after that the first buyer.
One exception is a near-limit account. If your Mercari cancellations are already high and your eBay record is spotless, one eBay defect may hurt you less than a public Mercari rate. Check your numbers before you decide. On eBay, the 2% limit only sinks you to Below Standard with defects from more than 4 different buyers, so a clean small account has some room.
What to do in the next 15 minutes
- Take down every remaining copy first. A third sale is the worst outcome, and it takes a minute to prevent.
- Confirm you really have only one. Sellers sometimes find a second unit, which ends the problem.
- Decide which order to keep, using the table above.
- Message the buyer you're cancelling on. Say plainly that the item sold elsewhere, apologize, and offer something similar if you have it.
- Cancel through the marketplace yourself, today, so the refund starts.
- Record what happened, including the marketplace, date and order, for your own bookkeeping.
Don't ask the buyer to cancel so it doesn't count against you. eBay's policy lists "sold it to someone else" as a cause of a defect, and that's the honest reason to give. Don't quietly ship something different either, because that turns a refund into a not-as-described claim.
What to say to the buyer
Short and specific works best. For example: "I'm so sorry. This item also sold on another marketplace before I could take it down, so I have to cancel your order and you'll get a full refund today. I have a similar one if you'd like to see it." Near Christmas, add one line if it applies: "I know this may have been a gift, so I wanted to tell you right away."
Why it happens more in the holidays
A double sale needs two buyers inside the gap between the first sale and your takedown. That gap is the same all year, but more people are checking out. In our sales data from last season, the six days from Black Friday ran about 30% above early November. Sellers are also packing more and checking apps less at exactly those times, which makes the gap longer.
A cancelled order also costs more in December. A buyer who is cancelled on December 16 may have no time to replace the gift, so expect a harder message and a worse review than you'd get in March.
How to stop it happening again
The fix is shortening the gap. By hand, that means checking every marketplace's sold page several times a day and taking copies down from a single spreadsheet, which our guide to preventing double-selling lays out. In peak weeks you can also hold your few best items on one marketplace at a time. Tools shorten the gap further, but check two things before you rely on one: which marketplaces it detects sales on, and whether your computer has to be on. Many only work while your browser is open, and some don't detect sales on every marketplace they list to. Our comparison of auto-delist tools has the details.
FLIPSAIL, our product, checks your stores for sales from our servers, every 5 to 10 minutes on most marketplaces on paid plans, and takes the other copies down with your computer off. A second buyer can still check out inside that window, so it shrinks the risk without ending it. There's a 14-day free trial (no card); after it, delisting stays free on your first two marketplaces for up to 100 listings with a card on file, never charged. Start free
Frequently Asked Questions
What happens if an item sells on two marketplaces at once?
You have to cancel one order and refund that buyer. Take down every remaining copy first, keep the order that would cost more to cancel, and cancel the other through the marketplace yourself the same day.
What if I sold the same item twice on Depop?
If you have one item, one buyer has to be refunded. Depop refunds automatically if an order is not shipped within 10 days, but message the buyer and cancel sooner so they are not left waiting.
What if the same item sold twice on Vinted?
Vinted lets you cancel the order yourself, or it cancels the next business day after your 5-business-day shipping window ends. Cancel right away and message the buyer, since they are otherwise waiting for nothing.
Does cancelling hurt my eBay account?
Yes. eBay counts cancelling because you sold the item to someone else as a transaction defect. The limit is 2% of transactions, or 0.5% for Top Rated, and Below Standard needs defects from more than 4 different buyers.
Can I ask the buyer to cancel instead?
Do not ask them to do it just to protect your metrics. Tell them the truth and cancel it yourself, giving the real reason.
Is it allowed to list the same item on several marketplaces?
Yes, and it is common among resellers. The cost comes from cancelling because the item already sold elsewhere, so remove sold copies quickly.
